What is Document Archiving?


Document archiving is a process that scans all of your paper ordinances, resolutions, meeting minutes, etc., and places them on one or more CD-Roms in a format that can easily be accessed on any PC or MAC computer and postable to any local area network or the world wide web. The disc is also searchable in two different ways for easy reference to specific topics, certain words, dates, etc.

Lost paper documents may be impossible to replace. Many municipalities find it important to order multiple discs for storage in several places: at their offices, headquarters and in a secure vault. Document archiving your papers insures continuity of information. All data is in a location accessible to the residents of your municipality who need them for reference.

How Does It All Work?


A representative of Keystate Publishers, Inc., will meet with a representative of the municipality to gather information and note documents that are in need of archiving. Our representative will take your documents back to our office for scanning, converting paper documents into readable, searchable electronic file format (.pdf). Each document will then be easily found by searching for document name or date. Next, we will formulate and create a data directory of a main folder with subfolders. We will organize your electronic files within the directory all in a way that makes sense for your municipality. The information will be transferred to one or several discs for use on a stand-alone PC, local area network, or the world wide web.

How Do I Use It?


If you can use a mouse to point and click or if you can type with two fingers, you will have no trouble locating and opening the document you need. You can also print the document for your own paper copy. We will provide a training session when we deliver your disc to your municipality.

What Does It Cost?


An investment of less than a thousand dollars will provide most municipalities with a meaningful program. Costs vary based on the size of the municipality and the quantity of documents, but it is surprisingly affordable.
